Service · Workflow automation

Your apps should talk to each other. Not through you.

Most small businesses run on a dozen tools that don't share information, so people carry it between them by hand. We connect your email, CRM, spreadsheets, accounting and scheduling so work moves on its own, and your team only steps in when judgment is needed.

What it is

The busywork between your tools.

Workflow automation is software that does the repetitive steps people do between systems: copying a new customer from an email into the CRM, turning an approved quote into an invoice, moving a signed form into the right folder, telling the right person when something changes.

Each step only takes a few minutes. Together they add up to hours every week, plus the mistakes and delays that come from doing them by hand.

    Examples

Workflows we automate all the time.

Every business is different, but the same patterns show up again and again. These are a starting point, not a menu.

    New customer onboarding

One signed form creates the CRM record, the accounting customer, the shared folder and the welcome email, all consistent and all at once.

    Quote to invoice

When a quote is accepted, the job is created, materials are listed and the invoice is drafted in your accounting software with the right terms.

    Inbox routing

Shared inboxes get sorted automatically: billing questions to billing, service requests to dispatch, everything logged against the right customer.

    Scheduling and reminders

Appointments booked online land on the right calendar, confirmations go out, and reminders are sent before no-shows can happen.

    Spreadsheet consolidation

The tracker someone updates by hand every Friday fills itself from the systems the data actually comes from.

    Alerts that matter

Overdue invoices, stalled deals, low inventory or a VIP customer emailing: the right person hears about it immediately, and only then.

    How we build it

    Mapped first. Then automated.

Automating a messy process just makes the mess faster. We start by understanding how work actually flows today.

    1. 01

      Map the current process

We sit with the people who do the work and document every step, tool, hand-off and exception, including the ones nobody wrote down.

    2. 02

      Pick the highest-value steps

We rank each step by the time it costs, how often it goes wrong and how hard it is to automate, then agree on what to build first.

    3. 03

      Build with exception paths

The automation handles the normal case. Anything unusual is routed to a person with the context they need, never silently pushed through.

    4. 04

      Test on real work

We run new workflows alongside your team first, compare results, and only switch over when everyone trusts the output.

    5. 05

      Document and hand over

You get plain-English documentation of what runs, when and why, plus monitoring so problems are caught before customers notice.

    Your stack

We work with what you have.

Most of the value is in connecting tools you already pay for. When a tool has no integration, we can often work through its email notifications, exports or web portal instead.

    Fit

Is workflow automation right for you?

    A strong fit if…

    • People on your team copy the same information between two or more systems
    • The same task happens dozens of times a week and follows predictable rules
    • Things fall through the cracks when someone is out sick or busy
    • You're about to hire just to keep up with admin work

    Probably not yet if…

    • The process changes every time and nobody agrees on how it should work
    • The task happens a handful of times a year
    • The underlying data lives only in someone's head; we'd start by capturing it

Not sure? That's exactly what the free audit answers.

    FAQ

    Workflow automation questions.

Do I have to switch software to automate my workflows?

Usually not. We build around the tools you already use, such as Gmail or Outlook, QuickBooks, your CRM and Google Sheets or Excel. If a tool genuinely can't be connected, we'll tell you during the audit and explain the options.

What happens when an automation hits something unusual?

Every workflow we build has defined exception paths. Anything that doesn't match your rules, like a missing field or an unusual amount, is flagged to a person with the context they need instead of being pushed through.

How long does a workflow automation project take?

It depends on the number of systems involved and how clean the data is. A single, well-defined workflow is often a short project; connecting several systems across a team takes longer. After the audit you get a written scope and timeline before any work begins.

Who owns the automations after they're built?

You do. Automations are built in accounts your business controls, documented in plain English, and handed over with training, so you're never locked in.
