AI automation questions, answered plainly.
What AI automation costs, how long it takes, what agents can and can't do, and how your data is handled. If your question isn't here, email us and we'll answer it directly.
01 / Basics
Getting started.
What does Columbus Innovate do?
We design and build custom AI agents and automations that take repetitive work off your team: workflow automation, document processing, CRM and follow-up automation, reporting dashboards and private AI systems. See all of our services, or the industries we work with most.
What is an AI agent?
An AI agent is software that can read information, make a decision based on your rules and take an action in your tools, such as replying to an inquiry, updating a CRM record or filing a document. Unlike a simple automation, it can handle messy inputs like free-text emails. Our guide on what an AI agent is goes into more detail.
How do I know what to automate first?
The best first projects happen often, follow predictable rules and involve copying information between systems. The free workflow audit ranks your opportunities by the time they cost, and our guide to what to automate first explains how to spot them yourself.
Do I need to be technical to work with you?
No. You need to know how your business runs; we handle the technical side. Everything is explained in plain English, and your team is trained on anything new before it goes live.
02 / Money and time
Cost and timeline.
We don't publish prices because every project is different. You get a written quote before any work begins.
How much does AI automation cost?
Pricing depends on scope: how many workflows are involved, how many systems need connecting, how clean your data is and whether the system runs in the cloud or on your own hardware. We quote in writing after the workflow audit, before any work begins, so you know the cost up front.
Is the workflow audit free?
Yes. The discovery call and the workflow audit are free, and you keep the written findings whether or not you hire us to build anything.
How long does a project take?
It depends on the number of systems involved and how much testing the work needs. A single, well-defined workflow is a smaller project than connecting several systems across a team. The scope and timeline are agreed in writing before work begins. Our process page walks through each stage.
Are there ongoing costs after launch?
Sometimes. Automations may rely on software subscriptions or AI usage that you pay the provider for directly, in your own accounts. Private AI running on your own hardware avoids per-message AI bills for the work it handles. Ongoing support from us is optional. Expected running costs are covered in the written scope.
03 / How agents behave
AI and agents.
Will AI agents replace my staff?
That isn't the goal. Agents take over the repetitive parts of a job, like data entry, sorting and routine replies, so your people can spend their time on customers, judgment calls and work that grows the business.
What happens when an agent isn't sure what to do?
It stops and asks. Every agent we build has defined exception paths: anything that doesn't fit your rules is flagged to a person with the context they need, instead of being guessed at or pushed through.
Can an agent send emails or make changes without asking?
Only where you decide it can. You choose which actions need a person's approval, such as replying to a client or changing an invoice, and which routine steps can run on their own. You can change those settings as your trust in the system grows.
04 / Privacy
Data and security.
Is my business data safe?
We build with the least access each system needs, in accounts your business controls, with every action logged. For sensitive records we can run private AI on hardware you own, so the data is processed where it already lives.
Can AI run without sending our data to the cloud?
Yes. Local AI models can run on a workstation or small server in your office. They suit work like reading, summarizing and extracting information from documents. Our explainer on local AI vs. cloud AI covers the trade-offs.
Do you work with medical, dental, legal or accounting offices?
Yes. For medical and dental offices and for law and accounting firms, we design systems with HIPAA and privacy requirements in mind and work alongside your compliance advisor or IT provider. We don't certify compliance; we build so that your advisors can review exactly how data is handled.
05 / The relationship
Working together.
Who owns what you build?
You do. Everything is built in accounts your business controls, documented in plain English and handed over with training, so you're never locked in.
Do you work in person or remotely?
Both. We meet businesses in person across southeastern North Carolina, including Wilmington, Leland, Hampstead, Southport and Jacksonville, and work remotely with businesses anywhere in the United States.
What happens after launch?
Your team has documentation and training, and the system is yours to run. If you want ongoing support, we monitor what's running, fix issues when a vendor changes something, adjust rules as your business changes and add new automations over time.
